A healthcare services provider needed a better way to manage the journey between a first patient enquiry and the final treatment or operation. The process involved patient enquiries, telephone appointments, treatment information, uploaded images, doctor review, offers, communication, payment links, operation dates, and patient instructions.
I developed one connected platform where each authorized user can access the information and actions relevant to their role while keeping private medical and internal information separated. The software supports the operational review workflow and does not replace medical judgment.

Each role receives the right operational view without exposing private notes or unrelated patient records.
Zoho CRM remains connected to the patient enquiry and commercial process, while Zoho Creator provides the operational portal and custom user experience. Logical records include the patient or lead, telephone appointment, treatment case, patient images, doctor review, offer, communication actions, payment records, and operation schedule.
When a patient reaches the appropriate stage, CRM data is synchronized with Zoho Creator. The Creator record stores references to the related CRM patient, appointment, or treatment record so internal users can move between systems without manually searching for the same case.
Patient images required a separate technical process from normal text and date fields. The system first creates or updates the base patient or treatment record, then uploads each image separately through the Zoho Creator Upload File API and links it to the correct image field and record. This prevents one image failure from deleting or blocking the base patient case.
Authorized staff can manage the most important actions from one dashboard: send offers, send email, send SMS, send WhatsApp messages, send payment links, review doctor notes, open patient records, and open treatment records. The dashboard keeps patient details, operation dates, consultant information, offer status, payment status, communication status, and recent activity in one place.
I built a custom React.js widget because a standard Zoho Creator form was not suitable for the doctor image-review experience. The widget brings together patient images, requested treatment, relevant medical context, consultant information, existing notes, and review status in a clean interface designed around the review process.
Authorized staff can generate or send offers from the Patient Actions Dashboard. The platform validates the required patient and treatment information, calls an internal offer-generation service, stores the returned offer reference or status, and records the communication action.
Communication channels include email, Twilio SMS, WhatsApp, and Superchat. Before sending, the platform can confirm that the patient exists, contact information is available, the channel is allowed, and the correct offer or payment link is connected.
Staff can send payment links directly from the patient dashboard. Stripe supports secure online card payment collection, while Tabby provides an additional payment option for eligible patients. Payment requests remain connected to the same patient and treatment case, with status visibility such as sent, pending, completed, failed, or cancelled.
The patient-facing portal is intentionally simpler than the internal dashboard. Patients can see their treatment or service information, amount, payment requirement, operation date, instructions, confirmation status, and next step. They do not see internal doctor notes, administration details, integration errors, or information belonging to other patients.
The final result is a complete healthcare workflow platform connecting patient enquiries, appointments, treatment information, medical images, doctor reviews, offers, communications, payments, and operation details.
The project transformed several disconnected activities into one coordinated digital patient journey with role-based access and clearer operational visibility.
