A US-based payroll services provider needed one operational support system for five departments. Although all teams worked inside the same Zoho Desk organization, each department handled different request types, deadlines, ticket fields, assignment rules, and completion requirements.
I transformed Zoho Desk from a standard support inbox into a centralized operations platform that connects support workflows, CRM data, telephone calls, e-signatures, documents, SLAs, and internal notifications.

Ownership logic can keep a valid owner, assign unowned tickets, or return work to a shared queue.
Tickets can match CRM accounts and contacts using email, phone, company data, and service identifiers.
Telebroad call tickets identify callers, normalize numbers, and connect the correct account where possible.
Department-specific Blueprints guide ticket stages while SLAs track response and resolution targets.
Custom closure checks prevent incomplete tickets from being resolved before required work is finished.
A Zoho Sigma extension lets agents send signature requests through Zoho Sign from inside a ticket.
Completed signed documents are retrieved, attached to the original ticket, and announced to the owner.
Tickets are evaluated by department, source, category, subcategory, customer data, owner, status, and custom field values. The platform can route requests based on incoming email address, product or service information, ticket source, internal or external sender, CRM identifiers, and the assigned agent's default department.
Zoho Desk is integrated with Zoho CRM so support tickets can be connected to the correct customer account and contact. For telephone tickets, the Telebroad integration normalizes caller numbers, searches supported phone fields, identifies the related account, and maps the call owner to the correct Zoho Desk agent when possible.
Department-specific Blueprints guide agents through claiming, waiting, resolving, closing, and reopening tickets. SLA rules are selected by department and request type, with support for business-hour deadlines, same-day requirements, escalations, and scheduled follow-up checks.
I built a custom Zoho Desk extension using Zoho Sigma so agents can send documents for electronic signature directly from the ticket. The extension loads ticket and customer information, prepares the signing request, sends it through Zoho Sign, and connects the signature status to the original support case.
When signing is complete, the integration retrieves the signed document, attaches it to the original ticket, updates ticket information, and notifies the responsible ticket owner.
The final result is a complete multi-department customer-support, telephony, CRM, workflow, and electronic-signature platform built around Zoho Desk. Five departments can work inside the same system while following their own assignment rules, categories, Blueprints, SLAs, follow-up schedules, required fields, and closure conditions.
Zoho Desk became the company's central operational platform instead of simply being used as a customer-support inbox.
